1. Scope
This policy explains how SKOLARRS SOLUTIONS PRIVATE LIMITED collects, uses, shares and protects personal data through globalmededexpo.skolarrs.com and the Global MedEd Expo 2026 seminar series. We are the Data Fiduciary for this data under India's Digital Personal Data Protection Act, 2023 ("DPDP Act"). You are the Data Principal.
2. What we collect
Information you give us in the registration form
- Student name
- WhatsApp / mobile number
- District in Tamil Nadu
- Programme of interest (MBBS, Nursing, Veterinary, Allied Health/Pharmacy, undecided)
- NEET 2026 status
- Funding route (education loan or self-funded)
- Email address (optional)
- Your consent to be contacted
Information you give us later
If you proceed with an application or ask for loan-file assistance, we may collect academic records, identity and address documents, passport details, income and financial documents of a co-applicant, and similar material. We collect these only when you choose to share them, and only what is needed for the specific university or lender concerned. We will tell you at that point what is required and why.
Information collected automatically
IP address, approximate location derived from it, device and browser type, operating system, referring URL, pages viewed, time on page, and the campaign parameters (utm_source, utm_medium, utm_campaign, utm_content, utm_term) and click identifiers (such as fbclid and gclid) attached to the link you arrived on. We record first-touch and last-touch attribution so we know which campaign or city a registration came from.
We do not knowingly collect: caste, religion, political affiliation, health records, biometric data, or financial account credentials. Please do not send them.
3. Why we use it, and on what basis
We process your personal data on the basis of your consent, given when you tick the consent box and submit the form, and for the following purposes:
| Purpose | What this means |
|---|---|
| Confirming your seat | Assigning your nearest city, sending the venue, date and reminders |
| Counselling | Shortlisting universities and programmes you actually qualify for, preparing your fee and eligibility sheet |
| Admission support | Where you ask us to, sharing your application with partner universities |
| Loan documentation | Where you ask us to, preparing and submitting your file to lenders you select |
| Follow-up | Contacting you about the programmes and countries you expressed interest in |
| Measurement | Understanding which campaigns and cities produce registrations, and improving the website |
| Legal | Meeting record-keeping, tax and regulatory obligations, and defending legal claims |
We do not sell your personal data. We do not rent or trade contact lists.
4. How we contact you, and how to stop it
When you tick the consent box, you agree to be contacted by WhatsApp, phone call, SMS, RCS and email about the seminar and related programme information. This consent is given directly to us and applies even if your number is registered on the National Do Not Call / DND registry, in line with the TRAI Telecom Commercial Communications Customer Preference Regulations, 2018.
You can stop this at any time. Reply STOP on WhatsApp, tell the caller, or email info@skolarrssolutions.com. We will act on it within 7 working days. Withdrawing consent does not affect processing already carried out.
5. Cookies and tracking
We use cookies and similar technologies through Google Tag Manager (container GTM-WDWTX96P):
- Necessary — form security, spam prevention, session handling. These cannot be switched off.
- Analytics — Google Analytics 4, to measure traffic, page performance and drop-off.
- Advertising — Meta Pixel and Google Ads tags, to measure whether an ad led to a registration and to build audiences for future advertising.
Meta Conversions API. When you submit the form, we also send the conversion event to Meta from our server. Identifiers such as your phone number and email are hashed with SHA-256 before transmission — Meta receives the hash, not the plain value — and events are de-duplicated against the browser Pixel so a single registration is not counted twice. Meta uses this to match the event to an account and to report and optimise ad delivery, under its own terms.
You can control cookies through your browser settings, and opt out of Google Analytics using Google's browser add-on. Blocking analytics or advertising cookies does not affect your registration or your seat.
6. Who we share it with
- Partner universities and their admission offices, in India and abroad — only when you ask us to progress an application, and only the data that application needs.
- Banks and NBFCs you select, for loan documentation — only with your instruction, and only what the lender asks for. We receive no payment from them.
- Service providers acting on our instructions (Data Processors) — hosting, database, WhatsApp Business messaging, email delivery, CRM and analytics providers, under contracts restricting them to our purposes.
- Advertising and analytics platforms — Meta and Google, as described in section 5.
- Professional advisers, or authorities, where required by law, court order, or to establish or defend a legal claim.
7. Transfers outside India
Progressing an application means sending your data to the university concerned — which may be in the Philippines, Tajikistan, Uzbekistan, Timor-Leste, Georgia, Azerbaijan, Nepal, Bulgaria or elsewhere. Some of our technology providers also store data on servers outside India. These countries may not have data protection laws equivalent to India's. We transfer only what is necessary, and only in line with the DPDP Act and any restrictions notified by the Central Government.
8. How long we keep it
- Registrations that do not progress: 24 months from your last interaction with us.
- Active counselling and application records: for the duration of the relationship and 3 years after it ends.
- Documents submitted for a university application or loan file: 5 years, or longer where a university, lender or law requires it.
- Website analytics: as configured in GA4, currently 14 months.
After these periods we delete or irreversibly anonymise the data, unless retention is legally required. If you withdraw consent, we erase your data unless we must keep it for a legal purpose.
9. Security
We use HTTPS across the site, restrict access to registration data to staff who need it, and require confidentiality from our processors. No system is completely secure, but if a personal data breach occurs we will notify you and the Data Protection Board of India as the DPDP Act requires.
10. Your rights
Under the DPDP Act you may:
- Access a summary of the personal data we hold about you and how we process it;
- Correct, complete or update inaccurate data;
- Erase data we no longer need for the purpose it was collected for;
- Withdraw consent at any time, as easily as you gave it;
- Nominate another person to exercise these rights if you die or become incapacitated;
- Complain to us, and escalate to the Data Protection Board of India if unresolved.
To exercise any of these, email info@skolarrssolutions.com from the address you registered with, or WhatsApp +91 97519 13331 from the registered number. We may ask you to verify your identity, and will respond within 30 days. You are responsible for the accuracy of what you submit, and for not impersonating another person — the DPDP Act provides penalties for false or frivolous complaints.
11. Students under 18
Many students registering for this seminar are in Class 12 and may be under 18. Under section 9 of the DPDP Act, we process a child's personal data only with the verifiable consent of a parent or legal guardian, and we must not track a child's behaviour or direct advertising at them. Accordingly:
- If the student is under 18, the registration must be completed by, or with the express consent of, a parent or legal guardian, and the WhatsApp number given should be reachable by that parent or guardian.
- We may ask you to confirm the registrant's age and the guardian's consent before we process the enquiry further.
- If we learn we hold a child's data without verifiable parental consent, we will delete it. To request this, contact us at info@skolarrssolutions.com
